Action Planning

The Action Plan feature in CatalystOne Engage helps your organization structure and follow up on improvement initiatives based on insights from your employee surveys. It provides a clear overview of actions across different organizational levels, assigns clear responsibility, and measures impact over time.

Accessing Action Planning

Navigate to Manage → Action Planning. After you have selected the wanted organization scope you can access the Action Planning dashboard. If there are no actions created yet, the dashboard will show an empty table with a “+ Create action” button. Once you have created actions, they will appear in the list along with relevant details.

Dashboard Structure

The dashboard categorizes actions into three sections, which appear based on whether actions exist within each scope:

  • Actions for above units: Actions created at higher organizational scope.
  • Actions for this unit: Actions specific to your current organizational scope.
  • Actions for below units: Actions for subordinate organizational scope.

If no actions currently exist, you can easily create a new action by clicking "+ Create action".


Action details

Each action displays:

  • Action Name: Custom name of the action.
  • Status: Current state of the action (Planned, Ongoing, Delayed, Completed, Archived). The status can be updated manually or automatically based on action progress.
  • Due Date: Deadline for completing the action.
  • Assigned to: Responsible individual.
  • Result impact: Shows measurable changes linked to survey results (e.g., Autonomy, Balance, Clarity).
    • Calculated by comparing results at the action’s creation and its completion or most recent survey.
  • Priority: Importance of the action (Low, Medium, High).
  • Visibility: Determines who sees the action (Direct Reporting, Full Organization, Manager Only). Actions are always visible to employees at higher organizational levels.

You can also filter actions based on any of these columns to streamline your view.


Creating a New Action

To add a new action:

  1. Click "+ Create action".
  2. Fill in the mandatory fields:
    • Action name: Provide a clear and concise title.
    • Description: Detail the goal and specifics of the action.
    • Assigned to: Specify the responsible individual.

Optional details:

  • Due date: Specify a completion deadline.
  • Status and Priority: Indicate the current stage and urgency.
  • Connected result: Link action to specific survey measures.
  • Action scope: Define the organizational scope.
  • Action visibility: Select who can view the action (Direct Reporting, Full Organization, Manager Only).


Linking Actions to Recommendations or Comments

Actions can be linked to recommendations or comments from survey insights:

  • Recommendations: Click "Create action" on a recommendation card to autofill:
    • Action Name (recommendation title)
    • Description (recommendation content)
    • Connected result (linked measurement area)
  • Comments: Linking an action to a comment autofills:
    • Action Name must be filled manually
    • Description (comment content)
    • Connected result (measurement area linked to the comment)

Linked comments maintain anonymity, especially when actions involve external teams.


Viewing and Managing Actions

When clicking on an action from the main dashboard, a detailed side panel opens. This view is particularly useful as it consolidates all essential information and activities related to the action in one place. Here you can quickly grasp the context and status without navigating away from the dashboard. The side panel offers comprehensive details such as the full action description, assigned responsibilities, due dates, and clearly highlights the priority level. Moreover, it provides insightful information about measurable survey result impacts and easy navigation to it and displays any linked recommendations or comments. The side panel also includes an Activity Log, offering complete transparency about all historical changes and updates.

 

In the detailed side panel, you can also:

  • Edit the action.
  • Archive completed actions.
  • Delete actions entirely.
  • Expand the action to a full-screen view for in-depth review, ideal for team meetings or detailed follow-ups.

The full-screen view provides comprehensive and structured access to all action-related information, including linked recommendations, comments, result impacts, and activity logs.

Configuration and Access

Action Planning is typically configured by your organization's administrators in collaboration with your Customer Success Manager (CSM). Access to Action Planning—such as viewing, creating, or editing actions—is based on predefined permissions and roles within your organization. If you have questions or need adjustments regarding who can view, create, or edit actions, please discuss this directly with your CSM.

FAQ

Why can't I see an action?

Each action has specific visibility levels - Direct Reporting, Full Organization, or Manager Only. If you're not included in the selected visibility scope, the action will not be visible to you.

What does it mean to connect an action to a result?

Connecting an action to a result links it to a specific survey measure (for example Autonomy or Clarity). This lets the system calculate Result impact—the numerical change in that measure from the most recent survey (or to the survey when the action was completed). If only one survey has been run since creation, Result impact will display a note explaining that no comparison can yet be made.

How do statuses work (do actions get updated automatically)?

Statuses are set manually by the action owner and can be switched between Planned, Ongoing, Delayed, Completed and Archived. The only automatic change occurs when a Planned or Ongoing action has a due date and that date passes—then the status is automatically updated to Delayed.
